Agent Guide & Introduction to Lead & Opportunity Ownership Claim
No more emailing for lead or opportunity changes.
We’re introducing Automated Ownership Claim, a new system that allows you to claim any open Lead or Opportunity directly from Salesforce.
This feature is designed to streamline handoffs and ensure ownership is only granted when you’ve actively worked the file.

Requirements Before Claiming
To claim ownership, you must complete all three of the following activities within one hour of your claim attempt:
• Log a Call
• Log a Note
• Send an Email
You can verify this by scrolling down to the Share Tracking/ Activity Tracker section of the record, where you’ll find the following fields:
• Last Email Sent Date
• Last Email Sent By
• Last Call Made Date
• Last Call Made By
• Last Note Date
• Last Note Made By
Each of these must show your name and a timestamp that is within one hour of your claim attempt.

Step-by-Step Instructions
Step 1: Complete Your Required Activity
Before attempting to claim ownership, make sure you’ve logged a call, note, and email on the file. These must be done by you and within the past hour.
To manually log a call on a lead/opportunity, press this button

Step 2: Find the Claim Button
At the top-right corner of the Lead or Opportunity record page, look for a button labeled:
• Claim Ownership – Lead (for Lead records)
• Claim Ownership – Opportunity (for Opportunity records)
This is located near other top action buttons such as “New Opportunity” or “Send with DocuSign”.

Step 3: Review the Dialog Box
After clicking the button, a dialog box will appear. It will show:
• How many Leads or Opportunities you have claimed today
• Your current daily claim count (limit of 10 claims per object per day)
• A confirmation message asking if you want to proceed
Select either:
• Yes, claim this Lead/Opportunity
• No, cancel

Step 4: System Evaluation and Claim
If you select “Yes” and proceed, the system will verify:
• You have logged a call, email, and note on the file within the past hour
• You have not exceeded your 10 daily claims for that object
If all conditions are met, the record’s ownership will automatically be transferred to you.

Monitoring & Misuse Policy
Every claim is:
• Logged as a new record in the Claim Log
• Included in a report
• Monitored by the Operations Department
If a user attempts to bypass the rules or manipulate the system, access to the claim feature can be revoked for that individual account.
